full time CLERICAL ASSOCIATE (SUPPORT SERVICES)

POSITION OVERVIEW

In this role you will provide administrative support and assistance to two SaskTel Directors. You will be responsible for organizing, scheduling, coordinating and expediting a variety of administrative work for the department. Accuracy is essential and you are constantly working to deadlines and dealing with multiple priorities daily. You may be required to work overtime and must be able to work in a flexible and continually changing environment. For this position, you must have experience using SAP.



KEY RESPONSIBILITIES

1. Organizes, coordinates and schedules the Director’s activities in a timely professional manner.
2. Prepares written correspondence and presentations. Coordinates and compiles departmental Results.
3. Responds to Customer inquiries on Manager’s behalf. Takes initiative to handle items that the Director does not need involvement and refers more complex requests and/or information to the appropriate Management or Personnel. Follows-up to ensure customer service and satisfaction.
4. Acts as the liaison between the Managers and the Administrative Assstant responsible for Budgets and Results.
5. Provides guidance in the area of procedures, equipment, and workflow. Assigns work to ensure that deadlines are met.
6. Responsible for coordinating Customer Oriented Functions (i.e. Customer Appreciation, Golf Tournaments, Presentations, etc.).
7. Ensures an objective and confidential approach to the release or reference of confidential Departmental Information.
8. Keeps attendance records for the Directors and managers and maintains the departments personnel files. Assists and provides support to the Directors, Managers and employees, as required. Attends Manager meetings and records minutes. Organizes travel arrangements, as necessary.



POSITION REQUIREMENTS

1. Secretarial certificate OR Level 30 Math with a minimum of 1-year relevant office administration.
2. Keyboarding skills 40 wpm.
3. Ability to lead and direct others.
4. Ability to plan and organize in a self directed environment.
5. Good verbal and written communication skills and the ability to deal effectively with others
6. Demonstrated ability to handle customer contacts with tact, diplomacy and courtesy at all times.
7. Working knowledge of personal computers and various software applications.
8. Working knowledge of SAP.
9. Working knowledge of Corporate Structure and departmental activities.
10. Demonstrated analytical and decision making skills.
11. General knowledge of applicable databases
